Export processes are far more complex than domestic sales because of multiple currencies, international logistics and customs requirements. The SAP S/4HANA SD module offers strong tools to manage that complexity, but when they are configured poorly, the sales team drifts back to spreadsheets and manual corrections. In this article I summarise the bottlenecks I see most often in the field and how to solve them within standard SAP.
1. Order type and sales area: separate your exports
Managing export orders with their own order type, and a separate distribution channel if needed, simplifies every step that follows. A dedicated order type makes it easy to assign different copy control, a different pricing procedure and different output (pro forma, packing list, export invoice). It also lets you see export volume in reporting with a single filter.
2. Freight and insurance driven by Incoterms
Terms such as FOB, CFR and CIF determine who bears freight and insurance costs. Showing these costs as separate condition types in the pricing procedure, and adding Incoterms to the access sequence of the condition records, removes the need for sales reps to calculate them by hand on every order. Freight and insurance then flow into separate value fields in CO-PA, so profitability can be compared by shipping terms.
3. Pricing procedure: readable and auditable
Pricing procedures that grow over the years can turn into something nobody fully understands. In a good procedure every step has a clear purpose: base price, customer discounts, campaigns, freight, insurance, tax. When maintaining condition records with VK11, validity dates and scales (quantity or value tiers) should be used with discipline. Conditions that allow manual price changes should be limited and reported on.
4. Multiple currencies and exchange-rate differences
In exports, the document currency is usually the customer's currency, while accounting is kept in local currency. Which exchange-rate type is used, and at which date, must be clearly defined for both order and invoice. Where price lists are kept in foreign currency, agree with the business when a rate update should affect the price; otherwise the same customer ends up with different margins on different days.
5. Pro forma invoices and export documents
A pro forma invoice is often needed before shipment for customer payment or a letter of credit. In SAP, order-related or delivery-related pro forma billing types produce the document without posting to accounting. When the data needed for the packing list, origin and customs declaration (commodity codes, weights, packaging) is complete in the material master and delivery, these documents can be generated automatically. The biggest enemy of document automation is incomplete master data.
6. Seeing true profitability with CO-PA
In S/4HANA, account-based profitability analysis (Margin Analysis) is the default approach, and accounting and profitability data meet in a single table. When freight, insurance and exchange-rate differences are mapped to the right value fields, you can see real export profitability by country, customer and product. That visibility moves pricing decisions from guesswork to data.
7. ABAP where the standard falls short
Some rules really are company-specific: custom approval flows, extra checks for certain countries, customer-specific document formats. Here, targeted enhancements with BAdIs and Enhancement Spots are appropriate. The rule is simple: configure the standard correctly first, and write custom code only when it is truly needed, and document it well.
Checklist
- Do exports have their own order type and, if needed, distribution channel?
- Are freight and insurance calculated with Incoterms-driven condition types?
- Are exchange-rate type and date rules written down and agreed with the business?
- Are pro forma and export documents generated automatically from master data?
- Can freight, insurance and exchange-rate differences be tracked separately in CO-PA?
If the answer to any of these is "no", your export process is very likely losing both time and margin.
